Free app · works on your phone · records stay in your AI account

Twelve steps. You see who is stuck.

Add a client. The steps appear, each with a date and a name. Nothing goes out until you send it.

The real app with example records. Switch who you're viewing as at the top. Nothing is sent anywhere. Open it full screen.

What it does

Four things it does daily.

Runs the checklist for you

Add a client's name and email. The twelve steps appear, each with a due date and the person responsible. No template to find, nothing to copy.

Shows each person only their steps

Sam sees Sam's steps. Priya sees Priya's. You see every client and the step it's stuck on. Nobody sees a client they're not on.

Tells you the one thing to do first

Every morning: which steps are overdue, what's waiting on the client, and the single most useful thing to do before coffee.

Never sends anything itself

A step marked done or a client moved on: you see what will change, then confirm. A reminder is drafted in your AI, from the records, and you send it. There is no accidental send.

Connections

Your AI knows your tools.

The app writes the drafts; you send them.

The page itself never sends anything. Your AI reads the records and drafts the email or the invite in the tool you already connected. Staff can flag a client for a reminder; the draft lands with you.

If connectedGmail or OutlookAsk your AI for today's reminders and the drafts appear, ready to send from your address.
If connectedGoogle or Outlook calendarKick-off and review steps become invites your AI drafts for you to send.
If connectedGoogle Drive or OneDriveAsk your AI to find a client's contract or intake form and link it to the step.
If connectedSlack or ZendeskAsk your AI to post the day's progress, or draft a reply from a ticket into the right step.

Anything else connected to your AI works the same way. The app adds no connections of its own.

What it saves

Four hours of admin per client.

And the clients you lose in a bad first month.

Per new client

4+ hoursby hand

What agencies report spending to set up one client across tools. At $100 an hour, $400 before the first invoice.

Delayed starts

Two weeks late on a $5,000 retainer is $2,500 you invoice later than you should.

Early leavers

Most early churn is settled in onboarding. A missed step is a reason to leave.

Questions

Plain answers.

Where are my client records?

In your own AI account, with the page. teamsflow never holds a copy. Download them as a spreadsheet any time.

Can my staff send reminders?

They flag the client. The draft appears for you in your AI, and you send it from your Gmail. Staff on free accounts can't use connections; that's the platform's rule.

Does it sign contracts or take payments?

No. Those steps hold a link to the tool you already use and are marked done when you confirm.

Can the client see their own progress?

Not in this version. You can send them a summary from the page.

Do my staff pay for the AI?

No. A free account is enough to open the app and confirm their steps.
